1. Introduction and Scope

This Privacy Policy explains how OpenLine ("we," "us," "OpenLine") collects, uses, and shares information when you use our missed-call text-back and SMS automation platform (the "Service").

This Policy distinguishes between two categories of people:

  • Customers — the business owners and staff who sign up for and use OpenLine directly; and
  • End Users / Leads — the customers, callers, and text-message recipients of our Customers, whose data we process on a Customer's behalf as part of providing the Service.

OpenLine is currently operated by an individual based in Brazil, providing the Service to customers in the United States, and is not yet organized as a formally registered legal entity.

2. Information We Collect

a. Information about Customers (account data)

When you create an OpenLine account, we collect information such as:

  • Business name, contact name, email address, and phone number;
  • Login credentials;
  • Billing information, processed by our payment processor, Stripe (OpenLine does not directly store full payment card numbers);
  • Configuration data you provide, such as services offered, pricing, business hours, tone of voice, and business context used by the AI Concierge.

b. Information about End Users / Leads (processed on a Customer's behalf)

When someone calls or texts a Customer's business number connected to OpenLine, we process, on that Customer's behalf:

  • The caller's phone number;
  • The content of SMS messages exchanged with the Customer's business, including messages generated by our AI Concierge;
  • Addresses or other appointment-scheduling details mentioned in the conversation.

With respect to this End User data, we act as a data processor / service provider on behalf of our Customer — it is collected and used to provide the Service to that Customer, not for OpenLine's own independent purposes.

3. How We Use Information

We use the information described above to:

  • Operate, maintain, and provide the Service, including sending automated SMS replies to missed calls;
  • Power the AI Concierge's automated conversation and appointment-booking features;
  • Create calendar events in a Customer's connected Google Calendar;
  • Process subscription payments and manage billing;
  • Provide customer support and respond to inquiries;
  • Monitor, secure, and improve the Service;
  • Comply with legal obligations.

4. How We Share Information (Subprocessors)

We share information with the following third-party service providers ("subprocessors") to operate the Service. Each provider only receives the data necessary to perform its function:

  • Twilio — telephony and SMS delivery (sends and receives text messages and call event data on our behalf);
  • Anthropic — AI language processing (generates SMS replies for AI Concierge conversations based on conversation content and business context);
  • Google (Google Calendar API) — appointment scheduling (creates calendar events when a Customer connects their Google Calendar);
  • Stripe — payment processing (handles subscription billing and payment information);
  • Supabase — database hosting and infrastructure (stores account and conversation data securely).

We do not sell personal information. We may also disclose information if required by law, to protect our rights, or in connection with a business transfer (such as a merger or acquisition).

5. Data Retention and Deletion

We retain account and conversation data for as long as an account is active, and for a reasonable period afterward to comply with legal, accounting, or dispute-resolution needs. Customers may request deletion of their account and associated data by contacting us using the details below. End Users who wish to have their data deleted should contact the Customer (business) they interacted with; we will also honor direct deletion requests we receive from End Users to the extent feasible, in coordination with the relevant Customer.

6. Data Security

We use reasonable technical and organizational measures to protect information, including encryption of data in transit and access controls that limit who can access stored data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your location and applicable law, you may have rights to access, correct, or delete personal information we hold about you, and to object to or restrict certain processing. Customers can access and update most account information directly within the OpenLine dashboard. To exercise these rights, or if you have questions, contact us using the details below.

8. Cookies and Tracking Technologies

Our website may use cookies and similar tracking technologies (such as browser local storage) to keep you logged in, remember preferences, and understand how our website is used, including through analytics tools. You can control cookies through your browser settings. This section will be updated if we add additional analytics or advertising technologies.

9. Special Notice Regarding End-User (Lead) Phone and SMS Data

OpenLine processes phone numbers and message content on behalf of our Customers, who are the ones directly interacting with their own callers and Leads. As between OpenLine and a Customer, the Customer is responsible for:

  • Informing their own callers/Leads that automated SMS and, where applicable, AI-generated messages may be used to communicate with them;
  • Providing any privacy notices required by law to their own customers regarding this processing;
  • Handling and responding to privacy-related requests from their own Leads in the first instance.

If you are an End User / Lead who received a text message through OpenLine and have questions about how your information was used, please contact the business that texted you first. If you are unable to reach them, you may contact us using the details below and we will assist to the extent we are able.

10. Children's Privacy

The Service is intended for business use and is not directed to children. We do not knowingly collect personal information from individuals under 18 years of age.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email and/or a notice in the Service, and the "Last updated" date above will be revised.
